The M. J. EGY & Associates Project Plan and Timeline

Too often, hiring authorities do not approach the hiring process as a project.  In every facet of the industry, operations, engineering, maintenance, projects, equipment installation, and upgrades, have a SOP associated with them. 

The hiring process is the only procedure that has not been upgraded and brought into a cost efficient practice.  M. J. EGY & Associates has developed a SOP for hiring that minimizes your time and delivers maximum results.

We offer this in hopes that you, as a hiring authority, recognize the need for a systematic approach to your staffing needs.  After reviewing the Project Timeline, give us a call to discuss how we can assist you in you human resource development.

Week 1  Search Start Date
Candidates screened around position specifications, resumes compiled, Candidate and Profile Sheet sent to Company. HR and Hiring Manager to receive information. Debrief of candidates with Hiring Manager, Phone Interviews set. HR informed as to which candidates would be phone screened. 

Week 1 - 2  Review of Candidates Submitted
Hiring Manager discusses candidate qualifications with Recruiter. Times and dates are set for Phone Interview. HR is informed which candidates will be Phone Screened and the dates. 

Week 1 - 3  Phone Referrals
Hiring Manager conducts Phone Interview. If the Candidate IS qualified, Hiring Manager sets tentative date with Candidate for an On Site Interview at that time. HR is informed which candidates will be brought in for an On Site Interview. 

Recruiter debriefs Hiring Manager the following day. Sets date for On Site Interview or turns candidate off.  Recruiter debriefs candidate after gathering information from Hiring Manager, sets time and date for On Site Interview or turns candidate off. 

HR is informed by Recruiter which candidates will be brought in for On Site Interview. HR will coordinate interview staff. 

Recruiter will assist HR to coordinate interview times and travel plans with candidates. 

Week 2 - 4  On Site Interview
Interview should consist of Hiring Manager, Peer and HR. Peer should be the person to take candidate on plant tour. All interviewers should address the positive side of the Company. All interviewers should be focused on the candidates skill set to determine if the candidate has the skill set to do the job. HR should be screening around interpersonal skill and cultural match. Benefit package need to be addressed at this time by HR. 

Recruiter debriefs Hiring Manager the following day of On Site Interview. 

Recruiter debriefs Candidate. Check on concerns or apprehensions. Feed back to Hiring Manager. 

Recruiter makes Spouse call and gathers information for HR on spouse needs. 

Week 4 - 8   2nd On Site Interview and Spouse Visit
Second interview should address career goals of the candidate as well as further evaluation of technical or operational skills. Interview should consist of Plant Manager, Hiring Manager, Interfacing Manager, HR. HR should address additional benefits not covered on first visit. (Only candidates that are hirable should be brought back for second interview). 

Spouse will need to meet with local realtor for area visit and discussion of schools, recreation, shopping or any other issues that impact the trailing spouse. (HR should recommend realtor. If not we can provide one). Lunch or Dinner should be scheduled with one of the interviewing staff and their spouse to answer questions in a relaxed atmosphere. 

Recruiter debriefs Candidate. Feed back to Hiring Manager and HR. 

Recruiter makes second spouse call on concerns or apprehensions. 

Feed back to Hiring Manager and HR 

Week 6 - 8  Offer Extended (Negations)
Verbal offer extended within 48 hours of second interview. Verbal offer should be extended by recruiter. 

Recruiter will check on concerns or apprehensions. 

Within 48 hrs of offer -  Acceptance of Offer 
Acceptance of offer. Offer letter to be sent by FedEx from HR. Recruiter will assist candidate with resignation letter and establish start date. 

Recruiter assists candidate and spouse on any issues they need during their transition. 

Week 6 - 10  Start Dates
Candidate starts
